  • Position Summary

    This Executive Assistant will provide administrative and project-based support including domestic and international travel, arranging meetings, liaising with senior management, external companies, board members and company associates. This position requires a high degree of professionalism, diplomacy and discretion in handling confidential information, initiative and independence.

    Major Duties & Responsibilities

    • Proactively manage calendar activities with the ability to schedule and prioritize meetings and resolve schedule conflicts.
    • Utilize sound judgment by keeping the entire Charlotte team abreast of any issues that may arise internally and/or externally which could potentially impact the team or the company as a whole.
    • Arrange conference calls and meetings with the Board of Directors, internal and external customers. (i.e. source the venue, communicate the logistical details to the attendees, distribute agendas)
    • Establish and maintain confidential files and records; release documents or other information requiring the use of discretion as to the nature and extent of distribution.
    • Prepare internal and external corporate documents by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
    • Read, research, and route correspondence; draft letters and documents; collect and analyze information; initiate telecommunications.
    • Maintain appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
    • Plan and optimize travel plans and manage travel itineraries.
    • Responsible for the creation, review and reconciliation of various reports, statements and invoices.
    • Strategic meeting management. Coordinate sales meetings, intercompany meetings, conferences, and events by arranging for airfare, hotel & meeting facilities, social activities, speakers and caterers along with issuing detailed information, invitations and budgetary reports.
    • Will travel and attend the meetings as needed.
    • Identify opportunities to leverage company airline, lodging, car rental and hotel volumes for cost savings initiatives and improved service, while maintaining relationships with travel vendors.
    • Organize office operations and procedures to ensure organizational effectiveness, efficiency and safety.
    • Partner with HR to maintain office policies as necessary.
    • Other administrative tasks and ad hoc projects as required.

    Required Education

    Bachelor’s degree preferred; minimum of seven years of related experience supporting C-level executives, along with five years of related corporate travel management experience.

    Required Skills & Experience

    • Minimum of 7 years of experience as an Executive Assistant reporting directly to senior management.
    • Advanced Microsoft Office skills including PowerPoint presentation skills.
    • Travel logistics and working knowledge of travel industry trends.
    • Strong work ethic in doing what it takes to get the work done.
    • Cooperative attitude and effective interpersonal communication.
    • Flexible and enjoy the administrative challenges of supporting an office of diverse people.
    • Excellent planning, organizational and time management skills.
    • Promote positive corporate image.
    • Effective follow through on critical aspects of tasks and projects with a hands-on approach.
    • Highly organized with the ability to prioritize workload and manage multiple, conflicting deadlines with attention to detail and within agreed timelines.
    • Demonstrate decision making, problem solving and analytical skills with particular attention given to detail and accuracy.
    • Ability to exercise considerable discretion and independent judgment when making decisions and interacting with associates, clients and Board of Directors.
