Position Summary

The Customer Service Specialist is responsible for responding to inbound calls or emails in a call center. Make outbound calls as necessary to resolve customer issues. This position requires maintaining relations with a variety of customers/clients. The customer base is acute, post and home care medical facilities and care givers. Primarily physicians, nurses, discharge planners, case managers or procurement office. Assist field personnel primary fields’ service technicians or sales with resolution of customer issue. The Primary duties of the Customer Service Specialist include; order entry, problem resolution and product assistance. It is important for the Customer Service Representative to know all product lines, policies and procedures related to; delivery, pick up, and order tracking. Initiates and sustains a professional rapport with customers, while creating a friendly positive experience.  

Major Duties & Responsibilities

  • Answer inbound call; high volume of calls promptly, and responsively and professionally for various inquiries
  • Obtains essential information from customers to process equipment, service or repair orders, in a timely and efficient manner
  • Accurate data entry into various databases and dispatch systems
  • Coordinates with dispatch team(s) and/or drivers as required to ensure deliveries/pick-ups are made on time utilizing resources efficiently              
  • Ensure confidential information is kept secure and managed in accordance with all regulations and internal procedures (i.e.,HIPAA, etc)
  • Maintain databases that include various customer, facility and employee information
  • Operates standard office equipment to include photocopy machine, multi-line telephone, computer/printer and facsimile machine, and operational/billing software
  • Maintain updated work instructions
  • Process reports, as needed
  • Complete all required training applicable to assigned position

Required Education

High school diploma or equivalent

Required Skills & Experience

  • 1 year of experience in call center environment with data entry responsibilities
  • Exceptional written and verbal communication skills and telephone etiquette
  • Highly organized with strong attention to detail
  • Proficient with Microsoft Office (basic spread sheets), inventory software, internet software, order processing systems and database software
  • Ability to work within multiple systems at one time, utilizing multiple computer screens
  • Ability to work independently and meet deadlines
  • Maintain positive and professional attitude

Preferred Skills, Experience & Education

  • Relevant knowledge of industry specific experience
  • Demonstrated problem solving ability with strong organizational & time management skills
  • Detail oriented and accurate
  • Ability to maintain high quality standards
